How to run your leads, jobs and reviews
This guide is for Kat and Kevin. It shows exactly what your C4 Engage account does, and the few things you do in it.
You share one login: voltagetreelawn@gmail.com. Open your account at app.c4engage.com. Michael will put the app on your phones with you on the call.
What runs on its own
Three things happen without you. Each one starts from something simple.

That is the whole system. The rest of this guide is how to use those three.
1. A new lead comes in
You get an email at voltagetreelawn@gmail.com. The subject starts with:
[Action Required] New estimate request
then the customer's name and the service they want. Inside is their name, phone, service, town and email, and a link that says View the contact.
Call them as fast as you can. Most people who want a tree estimate ask more than one company. The first one to call usually gets the job.
The same lead also shows up on your board in the first column, New enquiry. You do not have to add it.
The first time, check your spam folder. If the email is in there, mark it Not spam so the next one lands in your inbox.
2. They did not pick up
- Open the lead. Use the View the contact link in the email, or find them under Contacts.
- Find Tags and add no-answer.
30 minutes later they get an email from you that says you tried to call, with your number to call back.
This only works if they gave an email. If they did not, you will need to try them again yourself.
3. Your board
Every job lives on one board called Prospects.
To open it: click Opportunities on the left. If the box at the top does not say Prospects, pick Prospects from it.
The board has six columns. When something happens, drag the job into the next column. That is the whole habit.

If a job is not going to happen, click the job, change its status to Lost, and save. It leaves the board. Do not leave dead jobs in New enquiry.
4. A customer called you instead
People who call or text you are not on the board, because they never filled in the website form. Add them, or they will never get the review email.
- Open your board (Opportunities, then Prospects).
- Click Add opportunity at the top right.
- Type their name, phone and email, and pick the column they belong in.
- Save.
Always get their email. The review email cannot reach a customer with no email on file. The easy moment to ask is when you give them the price.
5. Reviews
When you drag a job to Job done:
- Your account waits 30 minutes, so your crew has left.
- It emails the customer: Thanks for choosing Voltage Tree Services. The email has a link that opens straight to the review box on your Google listing.
- The job moves itself to Review asked, so nobody gets asked twice.
You do one thing: drag the job to Job done when the work is finished.
6. Changes to your website
Use this link for anything you want changed:

- Open the link. You will see your website.
- Go to the page you want changed.
- Click right on the spot, the words or the photo, and type what you want instead.
- The first time, it asks for your name and email so we know the note is from you.
Michael gets every note and makes the change. Nothing you do in your C4 Engage account changes the website.
New photos? Text them to Michael, and leave a note in the link saying where they go.
